Send and track job offers

Attach an offer letter, queue the offer email, and track delivery and the candidate’s response.

Send an offer from the candidate’s job context to track its letter, delivery, and response. Sending moves the candidate to Job Offered. Candidates already marked Joined keep their stage. After the candidate responds, update their hiring stage separately.

Before you start

  • You need access to the candidate and job, and the View & Send Job Offers permission. The job must allow the action.

  • Confirm the candidate has the correct email address.

  • Prepare the offer letter. The composer requires one PDF, DOC, DOCX, or RTF file, no larger than 7 MB. Prepare the terms in your offer document.

  • Check the recipient, role, salary, dates, and other terms in the document before sending.

Send the offer

  1. Open the candidate in the relevant job and select Hiring → Job Offers.

  2. Select Send offer, or the available Send Job Offer action.

  3. The To address uses the candidate’s saved email. To correct it, update the candidate profile first. Review CC/BCC, subject, and message, and preserve the job-offer response link.

  4. Upload the required file in Offer letter and wait for upload completion.

  5. Review the final message and send. Wait for Job offer accepted for delivery before closing or retrying.

Accepted for delivery means the offer is queued. Check its delivery status in Job Offers.

Record salary separately when needed

Final salary offered and Currency are optional in Change stage for Job Offered and Joined. Save them for this candidate and job, then reopen the dialog to review or update them without changing the stage.

Track delivery and response

In Job Offers, inspect the sender, sent date, letter, email content, and any candidate comments. The tag distinguishes Delivery queued or Delivery failed from offer-response states such as Offer Sent, Offer Accepted, or Offer rejected.

The candidate opens the response link, views or downloads the offer letter, and selects Accept offer or Decline offer. They can add an optional note and confirm their response. A confirmed response is retained; contact the hiring team if it needs correcting.

Close the recruiting loop

After reviewing the response, update the candidate’s stage to the appropriate accepted or rejected offer outcome where available, and record useful context in the Note. Arrange the onboarding handoff and any follow-up tasks through your team’s process.

Troubleshooting

  • Offer letter is required or upload fails: attach one supported file within 7 MB and wait for completion.

  • Permission denied: ask an administrator to review View & Send Job Offers and access to this job/candidate.

  • Delivery is queued or failed: inspect the result and candidate address before retrying. Do not repeatedly send while delivery is still pending.

  • The candidate’s link or document is unavailable: ask them to retry the original link and contact the hiring team. Check the offer record before issuing another offer.
