Create, assign, and complete tasks

Use My tasks and All tasks, control visibility, and manage completion and due dates.

Use Tasks to plan follow-ups with an owner, due date, and completion state. You need task access; the All tasks view includes only tasks you are allowed to see.

Create a task

  1. Open Tasks and select Create task.

  2. Enter a specific Task description. You can use the editor formatting and @ mentions where available. Mentions may notify the selected teammates.

  3. Choose Assigned to, or leave it Unassigned. Set an optional Due date & time; a new or changed due date must be in the future.

  4. Choose Team for visibility to team members with permission, or Private for visibility to the creator and assigned person. The assigned person can see a private task.

  5. Select Create task and wait for confirmation.

Find the right tasks

  • My tasks: tasks assigned to you, plus your private tasks that have no assignee.

  • All tasks: tasks you can access. Wider team visibility depends on your permissions; private tasks remain limited to their creator and assignee.

  • Use the Open, Overdue, Due today, Upcoming, Completed, or All statuses filters. The page starts with Open tasks; choose Completed to find completed tasks.

  • Search tasks or team members, use Filters for assignee and visibility, and choose Due date first, Newest first, or Oldest first. Use Refresh if the list appears stale.

Complete, reopen, or edit

The task creator and assigned person can use the completion checkbox. Completing a task moves it out of Open results; choose Completed to find it and reopen it if needed.

Only the creator can edit task details or delete the task. Open the task or its menu, choose Edit task, update the fields, and select Save changes. Deleting requires confirmation and permanently removes the task from the visible workspace. Complete it instead if you want to retain the record.

Troubleshooting

  • You cannot see a teammate’s task: check task visibility and your access.

  • You cannot edit a task assigned to you: the assignee can complete or reopen it; ask the creator to change its details.

  • A due date is rejected: choose a valid future date and time, or clear the optional date.

  • Saving fails: keep the drawer open; your changes remain there. Retry after resolving any validation message. If team members fail to load, use Retry before choosing an assignee.

  • Closing prompts about unsaved changes: choose Keep editing to finish, or Discard changes to leave without saving.
