Review duplicate candidates during import

Understand duplicate results, reuse existing candidates, and verify the retained resume and job membership.

CVViZ can identify existing candidates during resume processing or contact import. Review duplicates in the import results; handling depends on the import method and job context.

Review a resume-upload duplicate

  1. Upload resumes through Add Candidates in the database or intended job and wait for processing.

  2. Inspect the results. A duplicate row shows Existing candidate found and identifies the existing resume when that information is available.

  3. In a job, choose Add existing to job to link the matched candidate where offered. In the database, choose Acknowledge duplicates to finish reviewing the results.

  4. Open the retained candidate and verify the current Resume, profile details, and membership in the intended job before continuing.

What a duplicate result means

A matched candidate is reused rather than retaining a second active upload record. Matching varies by import method and often uses email; similar names or phone numbers may not be matched.

Open the retained profile to check its active resume. Processing may update it even when the duplicate row says β€œThe uploaded file was not used.” The duplicate review has no option to choose between resumes or undo the processing update.

CSV imports and existing contacts

Use a consistent, valid email address and follow the candidate CSV guide. Update existing contacts controls whether matched profile information is updated. When importing into a job through Add Candidates, a matched existing candidate can be linked to that job even when the update option is unchecked. Importing into the database does not itself assign a job.

Remove repeated email rows within the same CSV before importing. Review the updated, skipped, and failed results.

If separate duplicate records remain

  1. Search the database by the candidate’s email, then compare the profiles, resumes, and job memberships.

  2. Decide which record should be retained before editing or removing anything. Preserve information you need and check other jobs that use the record.

  3. Use the candidate’s edit or resume controls to correct the record. Contact support if you need histories combined.

  4. Delete only after understanding its scope. A job-linked record may be unlinked from that job, while deleting an original candidate can remove the candidate from active use. See bulk-action consequences.

Troubleshooting

If linking fails, keep the results open and retry the link action after checking the job’s access and state. If the retained resume is unexpected, stop repeated uploads and contact support with the affected record and filenames. Check retained history before deleting any record.
