Use bulk actions on candidates

Select the intended candidates, understand action limits, and safely email, tag, evaluate, export, or remove records.

Bulk actions operate on the candidates selected in the current list. Available actions depend on your permissions, the job’s state and approval, workspace features, and how many candidates you select.

Select and verify the group

  1. Open the database or the intended job’s Candidates view and apply the filters you need.

  2. Select individual row checkboxes or the header checkbox for the visible page.

  3. When offered, select Select all … across pages to include all matching results beyond the current page. Wait for selection to finish and check the displayed count.

  4. Review the selected people before choosing an action. Use the clear-selection control to start again if the count or scope is wrong.

Choose an action

  • Email candidates: opens the composer for selected people with email addresses. Review recipients, subject, content, and attachments before sending. The selection count can exceed the number with usable email addresses.

  • Add to sequence: where Outreach is available, opens sequence enrollment for the selected group. Review the sequence and enrollment details before confirming.

  • Add tags: applies the chosen labels to the selected candidates.

  • Change status: in a writable job, opens a shared status change. Check the target stage, reason, and Note before applying; matching enabled automations may run.

  • Evaluate: where available for an approved, writable job, opens AI evaluation. Review the selected candidates, evaluation type, setup, and any credit information before starting.

  • More actions: may include Send Resumes or Submit to Client, Send Screening Form, Send Scheduling Link, Add Candidates to Job, Re-parse Resumes, Export Selected, Export All, and candidate deletion. On a smaller screen, additional actions may be inside this menu.

Selection limits

Email, resume sharing/client submission, screening forms, adding to a job, and sequence entry allow at most 50 selected candidates. Status changes allow up to 100, and Re-parse Resumes up to 20. An action can also be disabled by permission, plan, usage, or read-only job state. Reduce the selection or follow the displayed message.

Export, re-parse, and delete deliberately

Export Selected and Export All have different scopes. Check the export dialog before starting. Exports contain candidate data, not a restorable copy of recruiting history.

Re-parse Resumes extracts information again and can change parsed fields. Review the processing options and the selected list before starting. See resume parsing and re-parsing.

Delete Candidates requires reviewing the selected list and typing DELETE. In the database, removal deletes candidate records from active use. In a job, a candidate originally created for that job can be deleted, while a candidate linked from elsewhere is removed from that job. Review the affected records and job history before confirming. Use rejection to record a hiring decision while retaining the profile.

Troubleshooting and next steps

For a partial email group, inspect missing email addresses before sending. For a failed action, refresh and check the records before retrying to avoid duplicate messages or enrollment. Closed jobs retain permitted read/export/deletion actions but restrict hiring changes.

See candidate stage changes, rejection, duplicate handling, and job lifecycle for the specific consequences.
