Configure consent and data-request tools

Enable the privacy tools and review your organization’s consent preferences and public forms.

Use Settings → System → Compliance Settings to configure consent and candidate data-request tools with your organization’s approved policies and wording.

Before you start

An active administrator with Settings access must change compliance settings. Have the organization-approved consent/privacy text, the intended consent workflow and the person responsible for handling requests ready.

Enable the tools

  1. Open Settings → System → Compliance Settings and review the current GDPR tools state.

  2. Turn the tools on. Review the Data Processing Agreement displayed in the activation window.

  3. If your organization accepts those terms, select the agreement checkbox and Activate GDPR.

  4. Confirm the tools are enabled and the Overview, Preferences, Consent Form and Data Request Form tabs appear.

If settings cannot load, use Retry before making changes. If activation fails, follow the error and confirm your administrator access; do not assume the switch saved.

Review the settings and forms

  • Overview: review consent and data-request counts and open the relevant lists to inspect outstanding items.

  • Preferences: choose the consent waiting period and units, the selected action when consent is unavailable, and the displayed data-retention period. Review these against your organization's actual operating process.

  • Consent Form: edit the candidate-facing title, description and consent/privacy wording. Check the whole preview for clarity.

  • Data Request Form: edit its title/instructions and copy the displayed GDPR Data Request link when available. The editor is a preview; its submission button is disabled.

Field changes save through the page as you edit. Check for errors and reopen the relevant tab to confirm saved content. Inspect the public form through its displayed link before sharing it.

Understand the consequences

Complete the appropriate request action before closing a request. Changing a period or request status does not delete candidate data or fulfill the request.

The retention field records a period. Confirm your operational retention and deletion process with your administrator or support.

Turning the tools off does not erase existing consent, requests or candidate data.

Check candidate handling

Open an eligible candidate's Data Privacy tab and review the consent requirement and recorded status. Candidate access and tab permissions still apply. For actual request handling and current status labels, see Manage candidate consent and data requests.

Troubleshooting and next steps

If the public request link is unavailable, confirm the enabled tools and company configuration. If a form shows old wording, reopen the settings and verify that the edit saved. Contact CVViZ support with the page, field, exact error and time/timezone; avoid including unrelated candidate information.
