Email & Outreach

Create and start an Outreach sequence

Prepare recipients, messages, a sender, and a schedule, then review before starting.

Prepare and review an Outreach draft before starting scheduled sending.

Outreach must be enabled for your workspace and role. Available senders, follow-ups, reply capture, and credits depend on your account.

Before you start

Have intended recipients in CVViZ, an available sender, and sufficient Outreach credits where enabled. You can draft while an administrator sets up the sender.

1. Create a draft

Open Outreach β†’ New sequence or Create first sequence. Choose Candidates or Client contacts and a starting point. Select a job if offered, then choose Create draft to save and open the email-writing setup.

2. Write emails

Open Emails. Review subject/body and use supported variables. Check that needed recipient, job, or company values exist.

Where available, use Add follow-up email for up to two follow-ups after the first message. Choose conditions and business-day delays. Only enabled conditions can be used when starting. Review the recipient preview and missing-field warnings, then use Continue to recipients.

3. Choose recipients

Open Recipients β†’ Add recipients. Select records and review addresses. CVViZ checks eligibility, missing/duplicate emails, and suppression. Read warnings about other active or paused sequences; paused sequences may send again after resuming.

4. Sender and schedule

Choose an available sending address, or ask an administrator to set one up. Select sending days, time zone, and start/end times. Times follow the selected zone, including daylight saving. Follow-up delays count Monday–Friday business days; sending windows control when due emails can send.

Read reply-handling information. Automatic reply stopping requires enabled reply capture and follow-ups.

5. Review and start

Open Review & start. Check recipients, exclusions, messages, conditions, sender, schedule, and credits. Resolve displayed issues before confirming.

After starting, monitor recipient progress and items needing attention.

If starting is blocked

Resolve the displayed sender, credit, recipient, message, or follow-up issue, then review the sequence again.
