Email & Outreach

Manage Outreach replies, suppression, and sending

Understand reply stopping, sending windows, pause/resume, and archive/restore.

Review recipient progress, replies, and items needing attention after starting a sequence.

Outreach, reply capture, and follow-ups require workspace enablement. Available controls depend on your role.

Replies and automatic stopping

When capture is enabled, matched replies appear in Replies and on candidate/contact records. With follow-ups enabled, a matched reply stops remaining follow-ups for that enrollment. Emails already being sent can still arrive.

If Reply capture is unavailable, replies go to the selected From mailbox and cannot automatically stop follow-ups. Check that mailbox and manage future sending with available controls. Recruiter replies use Outreach credits where enabled.

Suppression

Opt-outs, do-not-contact settings, hard bounces, and complaints can block enrollment or sending for matching emails and ATS records. Review blocked reasons. Ask an administrator or support to investigate incorrect records; creating another sequence does not remove suppression.

Windows, delays, and limits

Emails use the sequence's sending days, time zone, and start/end times. A due email outside the window waits for an eligible time.

Follow-up delays count Monday–Friday business days and the selected condition must be met. Delivery/open/click conditions depend on available tracking; choose only offered options. Daily limits remain separate from credit balance.

Pause and resume

Pause sequence holds pending emails; already-sending emails may still arrive. Review recipients and schedule before Resume sequence. Pending emails follow the sending window rather than all sending immediately.

Archive and restore

Archive sequence cancels emails not submitted for sending, retaining history, activity, and replies. Find it using the Archived filter.

Restore as paused returns it paused and does not restart canceled recipient emails. For another contact attempt, use an available duplication/draft workflow and review the audience again.

Items needing attention

Review credit, suppression, sender, and delivery statuses. Refresh or check status before retrying an uncertain send.
