Create email templates, insert merge fields, and send a test
Prepare reusable messages, choose supported variables, and test safely before saving.
Templates reuse messages such as interview invitations or candidate updates. Merge fields insert recipient, job, or company details at send time.
Create or edit
Open Settings β Communication β Email Templates.
Create a template or open one you may edit.
Enter Template name and choose Template type.
Write subject and message. Insert supported fields with the variable picker.
Review the preview and save.
Template type determines where a template is used. Permissions and sharing control who can view or edit it.

Merge fields
Use Insert variable instead of inventing placeholders. Available labels include First name, Selected job title, Job location, Job link, Your company name, and Email signature.
Preview uses sample values. Check that each recipientβs names, job links, company details, and signature resolve correctly before sending.
Preview and test
Review subject and body.
Choose Send test email where offered.
Check From, Reply to, and Subject.
Enter an address you control in Send test to and confirm.
Check the received message, links, formatting, and spam folder.
Test emails use sample details. Save template changes separately after reviewing the result.
If confirmation is pending, choose Check test status and check your inbox before sending another test.
Troubleshooting
No sample value: choose a supported variable or revise the message.
Missing real details: check candidate, job, company, and signature data, then preview again.
No test/sender option: check permissions and email setup.
Accepted but not received: check address, spam, and displayed status before resending.
Outreach templates
Outreach uses its own supported variables and message requirements. Choose a template within Outreach and review the resulting message.
