Troubleshooting & Support

Troubleshoot resume uploads and parsing

Resolve rejected files, failed processing, duplicate messages, and incomplete candidate profiles.

Use this guide when an upload is rejected, processing fails, or the candidate profile is incomplete.

Check the upload requirements

The accepted formats and limits depend on the upload experience:

Upload experience

File types

Batch limit

File size

Standard upload

PDF, DOC, DOCX, RTF

100 files

Smaller than 2 MB each

Advanced upload

PDF, DOC, DOCX

20 files

Up to 25 MB each

Follow the requirements in your upload window; profile resume replacement has separate limits. These methods do not accept ZIP archives, images, or spreadsheets.

If a file is rejected immediately

  1. Check the file extension, size, and number of selected files against the upload window.

  2. Open the document locally to confirm it is readable and not empty, damaged, or password-protected.

  3. If needed, obtain a readable copy and save it in a supported format. Renaming a file extension does not convert the file.

  4. Upload the corrected file once and review the result.

If processing fails or takes longer than expected

  1. Open the upload or processing details and check the status for the affected file.

  2. Record the error message and filename. A completed batch can still contain individual failed files.

  3. Check your connection and whether a candidate record was created before uploading again.

  4. Retry failed files only. If processing is still in progress, monitor the existing operation.

For a plan, storage, or advanced parsing limit, ask an administrator to review Settings β†’ Billing. Storage and advanced parsing are separate allowances.

If the profile is incomplete or inaccurate

Compare the Profile with the original document under Resume & files β†’ Resume.

Problem

What to try

Most fields are empty

Check whether the PDF contains selectable text. Obtain a text-based copy or use optical character recognition if it is a scan.

Name, email, or phone is missing

Check whether those details are visible as text in the document, then correct the profile using a verified source.

Skills, education, or experience is in the wrong place

Correct the affected section. Use a simpler source document if many sections are affected.

The stored CV is outdated

Replace the resume from the existing candidate's profile and review the updated details.

The preview is blank or damaged

Confirm the source file opens correctly. If it does, report the preview problem with the file type, size, and candidate link.

Review scanned documents carefully, including when using advanced parsing.

If CVViZ reports a duplicate

Search by email and inspect the existing candidate’s resume. For another job, add the existing candidate to it instead of creating another record.

Follow the duplicate-review controls and check which resume is saved.

Before re-parsing

Re-parsing can replace extracted information and manual corrections with details from the stored CV. Use it for broad extraction problems with a readable source. For a few errors, edit the fields directly.

See Review and correct parsed resume information for the procedure.

Contact support

Use the in-product help widget, email hello@cvviz.com, or use the public contact page.

Include the filename, file type and size, affected candidate or job link, approximate upload time and timezone, and exact error or processing status. Share a redacted example with the same layout when possible. Do not include unrelated candidate information or passwords.
