Find out why a menu or action is missing

Check roles, subscriptions, integrations, job context, and record states when a feature is unavailable.

A missing or disabled action can depend on your role, plan, workspace features, integrations, or the record’s status. Check these areas in order.

1. Check the workspace and task

Confirm the workspace and invited email address. Note the missing action and the relevant job, candidate, or company.

Some actions need a specific context. For example, candidate screening answers and interview feedback are associated with a job; open the candidate from that job to review them.

2. Ask an administrator to check your role

CVViZ supports custom roles alongside protected administrator roles. Permission to view a page does not necessarily include permission to add, change, export, delete, or send from it.

Your administrator can:

  1. Open Settings β†’ Team & Access β†’ Users and confirm the role assigned to your account.

  2. As an administrator, open User Roles and review that role's Permissions.

  3. Search for the permission relevant to the task, review the impact, and save an approved change with Update Role.

  4. Confirm that your account is assigned to the intended role.

Changes to a shared custom role affect everyone assigned to it. System roles cannot be edited or deleted. For selected users, create or duplicate a role and assign it to them.

After the administrator saves an access change, sign out and sign back in, then reopen the feature. If it is still unavailable, review the other requirements below.

3. Match the access to the feature

Common areas to review with your administrator include:

  • Settings: access to Settings and any administrator-only setup. If Settings shows only Profile, the role may not include broader Settings access.

  • Candidates: Candidate Database access, permission to see other recruiters' candidates, permission to view all candidate sections, and separate permissions for uploads or status changes.

  • Notes and sensitive fields: visibility can be restricted independently from general candidate access.

  • Reports and exports: report access and export permission are separate; some report sections have additional requirements.

  • Calendar and email: page access, a supported connected account, and the permission needed for the action.

  • Outreach: viewing, managing sequences, and sending are separate permissions where the feature is enabled.

  • Users, roles, Billing, and integrations: administrator access, workspace type, and subscription requirements can affect what is shown.

Use the displayed permission descriptions to grant access relevant to the task.

4. Check subscription and integration availability

Some features require a plan allowance, add-on, enabled workspace feature, or provider connection, including for administrators.

Ask a billing administrator to review Settings β†’ Billing, and check the relevant integration's status. AI Sourcing, Outreach, Gmail, pipeline customization, and other features can have availability restrictions beyond ordinary role permissions.

Use the displayed feature or limit message when asking for help.

5. Check the record's state

A draft, pending-approval job, read-only job, restricted candidate, paused sequence, or unavailable sender can disable actions even when the user has the relevant role permission.

Review the record’s status and follow its available workflow.
