Understand administrator access and custom roles

Understand the protected administrator role, custom permissions, and separate partner access.

CVViZ includes a protected administrator role and custom roles with permissions chosen by your organization.

Administrator and custom roles

New workspaces provision an Admin role. In Settings β†’ Team & Access β†’ User Roles, administrator roles are marked System role and their edit/delete actions are protected.

Your organization can create roles such as Recruiter, Coordinator or Hiring Manager. Permissions depend on each role’s configuration and can differ between workspaces.

Administrators manage custom roles, and CVViZ protects the last active administrator from deactivation. Naming a custom role β€œAdmin” does not grant administrator status.

Review a person's access

  1. Open Settings β†’ Team & Access β†’ Users and find the person.

  2. Check their status and assigned role. Invited users have not completed joining; Inactive users must be reactivated before using the workspace.

  3. Open Settings β†’ Team & Access β†’ User Roles and inspect that role's permissions.

  4. Check whether the person also has access to the relevant job, candidate, company or sub-account.

  5. If a change is needed, ask an authorized administrator to update the role or assign a more suitable one. Have the person refresh and check the task again.

A role controls available actions, but workspace features, subscriptions and record scope can impose additional limits.

Choose a role deliberately

Start with the tasks the person performs. Review permissions for viewing other recruiters' candidates, sensitive fields, exporting, sharing, deleting, sending messages, integrations and billing separately. Give broader access only when the person's responsibilities require it.

Edit a shared role when the change should apply to all assigned users. Create another role when a smaller group needs different access.

Internal users and external participants

Internal users sign in to CVViZ with an assigned role. Hiring-manager, vendor and customer-contact records use separate workflows and do not automatically create internal user accounts.

Use vendor/client sharing for external collaboration and review the jobs and records shared.

Troubleshooting

If an administrator role cannot be edited, that protection is expected. If a custom role or user action is missing, check your own permissions and administrator status before changing plans. For a blocked assignment, review workspace scope and whether you are allowed to grant those permissions.

Next steps

Create and manage custom roles. Invite your team. Deactivate or reactivate a teammate.
