Job approval workflows

Configure approvers and approval groups, then route new jobs through them before they go live.

Who needs job approval?

Approval workflows are useful when:

  • HR or compliance reviews job postings before they go public.

  • Finance signs off on new headcount.

  • Leadership approves senior roles before they're posted.

Without approvals turned on, anyone with the right permission can publish a job directly.

Turning approval on

  1. Go to Settings → Job Approval.

  2. The page header reads Job Approval — "Manage approval workflow and configure approvers for job postings".

  3. Flip the Active / Inactive toggle in the top-right to turn the workflow on.

Once active, two configuration tabs appear:

  • Approvers — the individual people who can approve jobs.

  • Approval Groups — bundles of approvers (e.g. "Engineering leadership", "Finance & HR").

Configure the individual users (or external email addresses) who can sign off on jobs.

Group approvers together so a job can be routed to a named group rather than picking individuals each time. Common groups:

  • Engineering leadership — Eng director + VP.

  • Finance & HR — finance approver + HR director.

  • Senior leadership — for executive roles.

Each job is associated with an Approval Group via its field on the job edit form.

Per-job approval status

Every job has an field:

  • 0 — not approved.

  • 1 — approved.

The approval flow from the recruiter side

  1. Recruiter creates the job and sets the appropriate Approval Group on the Approval section of the job edit form.

  2. Recruiter clicks Send Approval Request. CVViZ shows a confirmation modal titled "Send Approval Request to All Approvers"; click Send Approval Request to confirm.

  3. The job moves into a pending state. Approvers receive notification.

The approval flow from the approver side

  1. Approver opens the job from their notification.

  2. They review the job details, then approve or decline.

  3. Once all required approvals come through, the job's flips to 1 and it can be published.

Job status interaction

Job approval status is separate from job status. A job in Pending Approval status can't transition to In Progress until the approval is granted.

Tips

  • Configure groups first, then the approvers within them — it's cleaner than wiring up approvers one job at a time.

  • You can toggle the entire Job Approval workflow off temporarily if you need to push a job through fast — just remember to turn it back on.
