Creating custom roles and the permission categories

Build a role with the exact permissions you want via the New Role drawer.

Where to manage

Settings β†’ User Roles. Page title User Roles, subtitle "Manage roles and permissions for your team members".

Custom roles must be enabled on your account. If the page doesn't surface as expected, your plan may not include role customization β€” contact your account team.

Creating a role

  1. Click + New Role in the top-right.
  2. The drawer opens with title Create New Role.
  3. Fill in:
    • Role Title (required). Example: "Recruiter", "Sourcer", "Hiring Manager".
    • Description. Rich-text. Use this to capture role intent for future audits.
    • Permissions (at least one required).
  4. Click Create Role.

The permission UI β€” categorized cards, not a matrix grid

The Permissions section renders permissions as clickable cards organized by category, not as a checkbox matrix table. Each card has a label and description; clicking it toggles selection.

Above the card grid, a tag shows the running selection count: "{n} selected".

The 5 permission categories

  • Job Management (folder icon).
  • Candidate Management (user icon).
  • Company Management (bank icon) β€” only shown when your workspace is configured as a staffing/recruitment agency.
  • Reports & Analytics (bar-chart icon).
  • Administration (settings icon).

Within each category are individual permission cards. Tick the cards your role should grant.

Editing a role

  1. From the User Roles list, click into a role.
  2. The drawer title becomes Edit Role.
  3. Update title, description, and permissions.
  4. Click Update Role.

Edits propagate to every user with that role on next refresh.

Deleting a role

From the role row's actions, choose Delete. Roles in active use need users reassigned first; the UI surfaces this constraint.

Common permissions worth knowing

The most-touched permissions, grouped by what they unlock:

  • View dashboard β€” see the home dashboard.
  • View reports β€” open the Reports section.
  • View candidate database β€” access the candidate database.
  • View calendar, View tasks, View companies tab β€” gate matching nav items.
  • Use People Search β€” open People Search inside a job.

Administration

  • Open Settings β€” open the Settings area at all.
  • View billing β€” open Settings β†’ Billing.
  • Manage users β€” add or edit internal users.
  • Manage departments β€” manage departments.

Candidates & jobs

  • See others' candidates, See others' notes β€” see other recruiters' candidates and notes.
  • View sensitive fields β€” read fields marked sensitive (e.g. salary).
  • View job notes β€” see job-level notes.
  • View recruiter summary report, View job-level reports β€” recruiter and per-job report sections.

Data actions

  • Delete jobs, Delete resumes β€” destructive actions.
  • Share resumes β€” share candidate profiles outside CVViZ.
  • Export data β€” export candidate or job data.
  • Import resumes from Outlook/Gmail β€” pull resumes from Gmail / Outlook inbox.

Tips

Use the Description field to capture why a role exists, not just what it does.
