Email setup: Outlook, Gmail, and Dedicated Email Address

Connect your work inbox so candidate emails sync into CVViZ via Outlook, Gmail, or a dedicated Office 365 mailbox.

Why connect your inbox

When your work email is connected:

  • Emails you send from CVViZ go through your real inbox.
  • Replies sync to the candidate timeline.
  • Forwarding and CC behavior matches your normal mail client.

Where to manage

Settings β†’ Integrations. The Email section lists the supported providers.

Supported providers

CVViZ ships three email integration cards:

Microsoft 365 / Outlook

  • Card title: "Microsoft 365 / Outlook".
  • Tooltip on the connect button: "Click to integrate with Outlook".
  • Sign in with your Microsoft account; CVViZ authenticates via Microsoft authentication.
  • Buttons: Connect / Disconnect.

Gmail / Google Workspace

  • Card title: "Gmail / Google Workspace" (Google icon).
  • Sign in with your Google account.
  • Buttons: Connect / Disconnect.

Dedicated Email Address

  • Card title: "Dedicated Email Address".
  • For shared inboxes (e.g. jobs@yourcompany.com) hosted on Office 365.
  • Button: Connect with Office 365 / Disconnect.

Connecting (general flow)

  1. Go to Settings β†’ Integrations.
  2. Click Connect on the card for your provider.
  3. Sign in with your work account in the OAuth popup and grant the requested scopes.
  4. The card flips to a "Connected" state with a Disconnect button visible.

What CVViZ does with email access

  • Sends outbound candidate emails through your inbox.
  • Receives replies and surfaces them on the candidate timeline.
  • Imports resumes from your inbox if you trigger the "Import from inbox" path on the Add Candidate modal (requires the Import resumes from Outlook/Gmail permission).

Disconnecting

Click Disconnect on the relevant card. Outbound emails fall back to CVViZ's relay until you reconnect. Past emails stay on candidate timelines; new replies stop syncing.

Common issues

  • Emails landing in spam β€” add SPF / DKIM records for your sender domain. (Done in your DNS, not in CVViZ.)
  • Sync paused / token expired β€” disconnect and reconnect from this page.
  • Microsoft 365 admin consent required β€” your IT team may need to approve the CVViZ app in Azure AD.

Tips

  • For shared team inboxes (jobs@, recruiting@), use the Dedicated Email Address integration instead of connecting an individual mailbox.
  • Reconnect after major changes to your IdP β€” token refreshes don't always survive.
