The candidate profile: timeline, notes, tags, attachments

A tour of the candidate profile — its 13 tabs, header signals, and quick actions.

The 13 tabs

Open any candidate. The profile is organized into tabs along the side or top:

  • Profile — the default view. Parsed CV summary, contact info, current title and employer.
  • Resume — the original CV file viewer.
  • Timeline — chronological log of every action and event on the candidate.
  • Calls & SMS — call records and text messages (Twilio integration).
  • Screening Answers — answers the candidate gave to the job's screening questions.
  • Notes — recruiter notes; @-mention teammates to ping them.
  • Emails — every email sent to or received from the candidate.
  • Documents — additional attachments (cover letters, portfolios, signed offers, etc.).
  • Interview Feedback — submitted scorecards. Only visible in the context of a specific job.
  • Cover Letter — also job-context only.
  • Events — scheduled interviews and meetings.
  • Job Offers — offers extended; job-context only.
  • Data Privacy — consent records, data requests, and GDPR actions.

Tabs surface counts for quick at-a-glance status — Notes count, Documents count, Events count, Job Offers count, Feedback rating count, Screening answers count.

Header signals

The profile header surfaces several at-a-glance ratings and indicators:

  • Grade — the AI evaluator's letter grade (A, B, C, D), shown in non-advanced screening mode.
  • Skill Match rating — how well the candidate's skills match the job.
  • Evaluation — shown in advanced screening mode.
  • Feedback Rating — aggregated from submitted interview scorecards.
  • Trending indicator — flags candidates with recent positive activity.
  • Discovered indicator — flags candidates surfaced via "Discover candidates" matching.
  • Candidate Status dropdown — pipeline stage / status, change-able from the header.

Adding notes

Open the Notes tab and create a note. Notes support rich text and @-mentions. Mentioned teammates get an in-app notification with a link straight to your note.

Tags

Apply tags from the header or the Profile tab. Tags filter the candidate database — see Searching and filtering the candidate database. Bulk-tag from a list selection.

Documents and attachments

The Documents tab is where you upload additional files — cover letters, portfolios, signed offers, certificates. The Resume tab specifically holds the parsed CV file(s).

Job context vs candidate context

Some tabs only appear when you open the candidate from inside a specific job:

  • Interview Feedback
  • Cover Letter
  • Job Offers

If you open the candidate from the global database, those tabs are hidden because they only make sense in a job context.

Data Privacy

The Data Privacy tab (when GDPR is active for your workspace) shows the candidate's consent records and lets you handle subject data requests (Access, Delete, Rectification, Erase, Stop processing). See GDPR and compliance.

Tips

  • Use the Timeline tab as your "what happened with this person?" reference. It's the canonical activity log.
  • Edit parsed fields inline on the Profile tab if the parser missed something — no need to re-parse for small fixes.
  • Don't dump everything into Notes. The structured tabs (Documents, Events, Emails) are easier to scan later.
