Managing vendors and recruitment agencies

Add and manage external recruitment agencies (vendors). Real fields and the optional "Add to Hiring Team" workflow.

What's on the list

Each vendor row shows:

  • Vendor Company.
  • Contact Person.
  • Email.
  • Hiring Team Status β€” active, invited, or an Invite action button if not yet on the team.

Adding a vendor

  1. Click Add Vendor. The Add Vendor modal opens.
  2. Fill in:
    • Vendor Company Name (required) β€” company.
    • Vendor Email ID (required) β€” email.
    • Contact Person Name β€” name. Required when adding as a team member.
  3. Optionally tick Add to Hiring Team to invite the vendor user into your CVViZ workspace as a portal user.
  4. If you ticked Add to Hiring Team:
    • Pick a User Role β€” the form auto-selects a role named "Vendor" if one exists in your workspace.
    • Hover the role to see its permissions in a popover.
  5. Click the action button:
    • Add Vendor β€” for the basic context (just a vendor record).
    • Add and Invite β€” when Add to Hiring Team is checked.
    • Invite β€” when sending an invite to an existing vendor record.
    • Update β€” in edit context.

Sharing jobs with a vendor

From a job's actions, share with vendors. Vendors only see jobs you explicitly share. They submit candidates through their own portal experience and the candidates flow back into your CVViZ workspace tagged as vendor-sourced.

Pausing vs removing

The vendor's Hiring Team Status (active / invited / un-invited) is what controls portal access. To stop a vendor from submitting:

  • Stop sharing future jobs with them.
  • Or remove their portal user from the Hiring Team via the user-management flow.

Their submitted candidates stay in your CVViZ database.

Reporting

The Vendors Summary report at /reports/vendors tracks per-vendor performance: candidates received, shortlisted, interviewed, joined, plus job counts. See Vendors Summary Report.

Tips

  • Build a "Vendor" role in /settings/roles with appropriately limited permissions before inviting vendors β€” the form auto-picks it.
  • Don't share with too many vendors per role β€” quality drops fast.
  • Track fee logic in your finance system and use the Vendors Summary CSV as input.
